Make an impact with our Administration team as an Administrative Assistant. This diverse team of professionals directly contributes to the success of the firm by supporting internal and external clients. As a key member of our Executive Search and Professional Recruitment team, the Administrative Assistant plays a pivotal role in supporting our western Canada practice by ensuring smooth, efficient operations and supporting executive search consultants in delivering outstanding client service.

Responsibilities

  • Perform a variety of administrative and clerical activities
  • Review, modify and prepare general templates, engagement letters, proposals, reports, PowerPoint presentations, Word documents, Excel workbooks and other correspondence materials; research, compile and summarize information/data, as applicable
  • Record minutes at various meetings and distribute or archive them accordingly
  • Update/maintain internal database
  • Manage and coordinate multiple calendars
  • Oversee the invoicing process for the Executive Search and Professional Recruitment team, ensuring invoices are accurately generated, tracked, and sent to clients in a timely manner.
  • Manage relationships with external vendors and service providers, including coordinating services and managing contracts as needed.
  • Track and reconcile expenses and vendor invoices, working closely with the finance team to ensure timely payment and accurate budget tracking.
  • Developing candidate long lists and client reports
  • Coordinate and schedule internal and external meetings, appointments and team social events
  • Coordinate travel arrangements and reservations
  • Serve as a main point of contact for internal and external communications, managing emails, calls, and inquiries professionally and efficiently.
  • Maintain accurate records in CRM and applicant tracking systems, ensuring that client and candidate data is current and well-organized.
  • Track and present key metrics and data for client projects, recruitment processes, and team performance, preparing regular reports for internal review.
  • Support data entry, analysis, and reporting for ongoing projects, generating insights and status updates that contribute to decision-making.
  • Collaborate with team members to create presentations and data visualizations for client meetings and project summaries.
  • Contribute to the development of new ideas and approaches to improve work processes 
  • Work collaboratively with other team members and leadership
  • Handle sensitive information with the utmost confidentiality and discretion, maintaining trust and integrity in all interactions.

Skills and Experience

  • Post-secondary education in administration is considered an asset
  • Administrative experience in a professional working environment is considered an asset 
  • In depth knowledge and experience with Microsoft Office software (Excel, Word, PowerPoint etc.)
  • Excellent organizational and time management skills, with the ability to manage multiple tasks simultaneously
  • General understanding of financial processes, including invoicing, vendor management, and budget tracking.
  • Excellent written and verbal communication skills with a professional and polished demeanor.
  • Highly detail-oriented and proactive, with the ability to anticipate needs and provide efficient solutions.
