Reporting to the Leasing Manager, Commercial Properties, this role is responsible for preparing, reviewing, and coordinating legal documents related to commercial property management and leasing transactions. Accuracy in documenting tenant relationships is essential to supporting our mission of delivering exceptional customer experience. About the Role

  • Prepare, amend, and track Letters of Intent, Lease Proposals, Lease Agreements and any other letters or agreements required during the tenancy, including default notices and rental accommodation, for all new and existing customers.
  • Draft contracts, including Leases, amendments, renewals, Licenses, Land, and Parking Agreements, and ensure execution of the same documents following the company procedures
  • Execute diligent leasing support, collaborating with the Leasing Manager, Construction Project Manager, Tenant Administration, Local Operations Team and Director.
  • Maintain and track tenant agreements and lease status, highlight to the leasing manager upcoming important dates and deliverables such as renewals, commission processing, tenant inducements, etc.
  • Ensure prompt execution of leasing processes for retail and office tenants and make appropriate recommendations from the initial negotiations until the end of the process.
  • Present contracts for final approval to the Commercial Director.
  • Supported the leasing manager and accounting team in processing lease-related transactions.
  • Ensure the accurate execution and tracking of renewals, amendments, terminations, and other lease modifications.
  • Support the process of maintaining electronic and hard copy records of lease agreements, ensuring timely execution and compliance.
  • Uphold corporate standards for documentation, formatting, presentation, correspondence, and file management.
  • Participate in ad hoc corporate initiatives and provide general administrative support as required. 

 

Experience

  • Law Clerk Certificate, Legal Office Administrative Assistant Certificate from an accredited institution,
  • 3 - 5 years of experience in Commercial Leasing, Office and Retail, and legal transactions
  • Advanced level of knowledge of Microsoft Office programs such as Word, Excel, and Outlook
  • Exceptional attention to detail and proofreading skills
  • Demonstrated knowledge of business terminology and standard legal correspondence
  • Self-motivated with the ability to work in a challenging environment.
  • Excellent communication skills, interacting with team and clients by telephone, email and in person.
  • Proficiency in working with specific software programs and data management platforms such as CRM, DocuWare, DocuSign, or other financial systems.
  • Excellent written communication to articulate legal concepts clearly and concisely.
  • Ability to work autonomously with minimal supervision in an organized manner to attain deadlines with accuracy in data management and follow through while demonstrating consistency of prioritization abilities
