Job Summary

The Accounting Clerk is responsible for the accurate and timely processing of Accounts Receivable and Accounts Payable and management of customer and vendor accounts and relationships for Ippolito Produce Ltd.

 

Job Responsibilities

The Accounting Clerk is responsible for several responsibilities, including but not limited to:

  • Ensure all PO backup has the necessary approval and confirm all details match the system and invoice provided prior to entering
  • Regularly review outstanding Purchase Orders and follow up with the Salesperson.  Investigate overdue invoices to be paid, notifying management of payments due
  • Advise vendors of overdue or short payments, and address general inquires or concerns.
  • Prepare weekly cheque runs
  • Regularly use AP and AR software (more emphasis on AP use) for data entry purposes
  • Review Canada custom duties and amend with broker
  • Prepare daily bank deposit
  • Import daily Toronto Wholesale Produce Association (TWPA) deposit file
  • Review deposits for any discrepancies/short pays and investigate and resolve
  • Correspond with TWPA regularly to ensure our records of Receivables match
  • Prepare a monthly Accounts Receivable Aging Report, making note of action taken on overdue accounts
  • Ensure accurate scanning of all Sales Invoices, Cheques and Accounts Payable Invoices into system
  • Ensure timeliness and accuracy of all data entry and other tasks
  • Maintain positive relationships with customers, vendors and other partners – some travel may be required to Toronto location
  • Other duties as assigned

 

Education and Experience

  • Minimum 1-2 years’ experience with accounts payable and accounts receivable is required
  • Post-secondary education degree / diploma in business, accounting, or another related field is an asset
  • Previous experience in the food industry is an asset
  • Previous experience with high volume invoicing is preferred

 

Knowledge, Skills and Abilities

  • Strong knowledge and experience in the use of computer programs including the ability to operate computerized accounting, spreadsheets and word processing programs, and email at a highly proficient level
  • Strong attention to detail and a high level of accuracy
  • Time management and stress management skills
  • Organization skills
  • Must be proficient and have solid interpersonal skills and be capable of communicating effectively with various internal and external stakeholders
  • Analytical and problem-solving skills
  • Ability to set priorities to meet deadlines and schedules

 

Working Conditions

The Accounting Clerk works in a busy office environment and is expected to coordinate numerous activities at once. Mental stress is relative to meeting tight deadlines, dealing with a large volume of invoices and tasks ensuring accuracy of information, and normal activity in a busy office environment. Job hours are typically 8 AM to 4 PM – with some fluctuation dependent on business needs and agreement with supervisor.
