Job Title: Administrative Assistant
Term Position: 1-Year (opportunity for renewal)
Scope of Position
Reporting to the Infrastructure Manager, the Administrative Assistant performs a variety of support duties which include but are not limited to coordinating meetings and travel, assisting with expense claims and purchases, supporting communications, and developing and maintaining a document management system. Therefore, the Administrative Assistant manages multiple tasks and possesses excellent time management skills.
Key Responsibilities:
· Coordinate meeting facilities/venues and catering services for meetings/events and arrange accommodation for meeting participants;
· Produce kits/materials for meetings, conferences, training sessions, presentations;
· Record, transcribe and prepare minutes for all meetings;
· Coordinate travel arrangements such as flights and accommodation for the Infrastructure department;
· Assist in processing Manager-Approved payments, travel claims and month end statements;
· Coordinate engagement and communications with stakeholders, and network as required;
· Assist with communications which includes webpage and social media content and promotions;
· Monitor office equipment, inventory, and order supplies as necessary;
· Develop and maintain a document management system;
· When required, participate in activities such as training, conferences and meetings
Qualifications:
· Minimum high school diploma or equivalent. A diploma or certificate in Office Administration or equivalent is preferred
· 2+ years of Administrative and/or Executive Assistant experience
· Project coordination and/or management is an asset
· Proficient in Microsoft Office (Word, Excel, PowerPoint), iOS hardware and software, Gmail, and Calendar
· Proficient in office equipment (printers, photocopier, fax, binding machine etc.)
· Excellent written and verbal communication skills
· Strong interpersonal skills and the ability to build relationships with stakeholders, member communities, external partners, and staff
· Experience working in First Nations, both regional and/or community level is preferred
· Ability to understand, speak and translate Mi’kmaq into English is an asset
· Access to a reliable vehicle, and ability to travel within NS
· Valid driver’s license required
