Receptionist

 

 

Hourly Wage

Key Purpose

The receptionist will be responsible for welcoming visitors; answering incoming calls; directing calls to the appropriate party; mail distribution; maintaining reception, conference rooms and kitchen cleanliness; inventory of pantry items and other additional front of house/reception/administrative duties. Providing general office support with a variety of clerical activities and related tasks. This position reports into a remote Supervisor.

Key Areas of Collaboration and Influence

  • Support the team, and report to the Key Account Manager
  • Communicate effectively with colleagues within the Business Unit and across the company so that information is disseminated effectively and participate in project groups and meetings as required

 

 

Ideal Candidate Experience

  • High school diploma or equivalent education required. College Degree Preferred 
  • Two years related experience in a corporate environment or hospitality related field preferred 
  • Knowledgeable and familiar with Microsoft Office applications
  • Use of professional etiquette for all written, verbal, and phone communications
  • Must be customer focused and organized • Ability to work in a team environment
  • Able to report to remote supervisor
  • Outgoing, friendly, and discreet
  • Able to balance the responsibilities for ISS, customer headquarters and the local customer

 

 

Key Accountabilities

  • Represent customer in a client-facing role, greet visitors in a courteous manner 
  • Screen and direct calls to the appropriate parties, as well as take down and distribute accurate messages and caller information
  • Utilize meeting tool to schedule appointments and manage conference details
  • Assist with meeting setup (VC, conference calls and presentations), catering service (food and beverage services) and clean-up for meetings, ensuring rooms are ready for the next meeting 
  • Manage and monitor daily maintenance of reception and pantry areas, including timely procurement of pantry supplies, working with confidential waste vendor, monitoring water delivery, replenishing vending machines and regular plant maintenance 
  • Sort and distribute incoming mail and manage all outgoing mail 
  • Manage permanent and temp badge inventory, including requests, distribution and cancellations of all customer and building IDs. Work with corporate security, building security and employees. Maintain and complete all documentation and log books
  • Facilities and administrative tasks, including, but not limited to processing invoices, tracking payments, issuing host letters, managing newspaper prescriptions, creating nametags, supporting the customer, supporting your supervisor, performing audits and interfacing with vendors
  • Perform monthly inspection of fire extinguishers, first aid kit and defibrillator; including ordering and replenishing supplies
  • Participate in FOH/Reception meetings
  • Update and maintain the FOH/Reception Guide
